JOB OFFER : PART-TIME FINANCE AND ADMINISTRATION OFFICER

Communication and Community Engagement Officer  

STARTING OCTOBER 2019 (FLEXIBLE DATE)

Practicalities:

  • This is a part-time position (2 days / week)

  • Contract duration: Initial 6 months, to be renewed.

  • Salary is based on the “commission paritaire 329.03” (Belgian legal framework)

  • Start Date: October 2019

 

Purpose and Tasks

The main “missions” of our new team member:

  • Manage financial management and reporting systems

  • Support the team in keeping a healthy financial management

  • Budget, monitor and report EU projects (up to 500.000 EUR budget)

 

The candidate will have the following responsibilities:

 Human Resources

  • Payroll management (contacts with Secretariat Social and Sodexo)

  • Payments processing

 

 Finance Management

  • Budgeting and integrating project budgets into organisation budget (allocation of income, expenses and overheads)

  • Monthly and annual balance sheet, profit and loss and cash flow statements and result allocation – reporting to team and board.

  • Monitoring of project accounts, control of expenditure against budgets

  • Invoices, payables and receivables processing – including relationship with clients, members and suppliers, but above all the organisation’s accountant

 

 Statutory requirements & Organisation

  • Organizing Board and general Assembly Meetings in accordance with the Belgian legislation requirements

  • Monitoring and collection of annual membership fees

  • Eventual publications in the Moniteur Belge

 

Fundraising: Grant application and compliance

  • Financial and administrative support to the staff members in the fundraising process

  • Preparation of grant applications to the EU institutions and private donors and liaison

  • Compliance of grants with EU or private foundations’ regulations

  • Financial reports on projects to the European institutions and private foundations

  • Preparation for and management of external audits by EU and private foundations

 

Profile:

  • Relevant experience or training in accounting and financial management

  • Relevant experience or training in reporting to the EU institutions

  • Some knowledge in bookkeeping

  • Knowledge of Belgian accounting and social legislation

  • Fluent French/English

  • Technically and computer agile - specially using distance collaborative tools (Google Drive and Spreadsheets, Conference Calls; Email) 

  • Joy and willingness to learn and working in teams
